Privacy policy
This page explains which data we process when you use bigscreen.dk, why, and what rights you have.
Last updated: 31 October 2026
1. Data controller
Bigscreen ApS, CVR 45528464, Ved Skoven 14D, 8541 Skødstrup, Denmark. Phone +45 3939 5151, email [email protected].
Bigscreen ApS is the controller for the data processed through the site. If you have questions about your personal data or want to exercise your rights (section 9), write to [email protected].
2. When you fill in a form
“Try for free” (/proev): club/venue name, contact person, email, phone, country, selected sports and features, number of screens, your message and, if present, a source tag from a link. The data is sent to our administration system (admin.bigscreen.dk) so we can set up a demo and contact you.
Create a new scoreboard (/ny, a link we send to customers): customer type, VAT/CVR number, country, name/company name, attention, phone, address, email, invoice email, payment terms and billing interval, the desired scoreboard address, email for the admin user, how you heard about us, your comment and language. The data is sent to admin.bigscreen.dk so we can set up the scoreboard and invoice. While you type the desired address, the page asks admin.bigscreen.dk whether the name is available. If you arrive via a link from us, the link's project ID is used to pre-fill what we already know.
Purpose and legal basis:
- /proev: to answer your request, set up a demo and follow up on it. The legal basis is Art. 6(1)(b) GDPR (steps taken at your request prior to entering into a contract) and Art. 6(1)(f) GDPR (our legitimate interest in following up on enquiries).
- /ny: to set up the scoreboard, deliver it and invoice. The legal basis is Art. 6(1)(b) GDPR (entering into and performing the contract). We keep accounting records because the Danish Bookkeeping Act requires it (Art. 6(1)(c) GDPR).
How long: Enquiries that do not lead to an agreement are deleted after 12 months. Customer data is kept for as long as the agreement runs and then for 5 years under the Danish Bookkeeping Act.
3. Spam protection on /ny (Cloudflare Turnstile)
The form on /ny uses Cloudflare Turnstile (challenges.cloudflare.com) to tell humans from bots. Turnstile is only loaded on that page and is required to submit the form. Cloudflare receives technical data from your browser in this process, including your IP address, but not what you type in the form. Cloudflare processes this data as a processor under Cloudflare's data processing agreement. The legal basis is our legitimate interest in protecting the form against abuse (Art. 6(1)(f) GDPR). Cloudflare also uses the data itself to improve Turnstile and is a controller for that part. Cloudflare's own processing is described in Cloudflare's Turnstile Privacy Addendum.
4. Chat and statistics – only with your consent
Only when you click “Accept” in the cookie banner does the site load:
- Chat (Chatwoot) from app.chatwoot.com. What you write in the chat, plus any name and email, is sent to Chatwoot. The chat sets the cookie
cw_conversationso the conversation can continue; it is kept for up to 1 year. Chatwoot is operated by Chatwoot Inc. on servers in the United States (Amazon Web Services), so the chat is transferred to the US (see section 7). Chat conversations are deleted after 12 months. - Visitor statistics (Umami) from stats.bigscreen.dk: which pages are visited, referring page, browser, operating system, device and approximate location (country), so we can see how the site is used. Umami does not set cookies, but we still only load it with your consent. We run the Umami server ourselves at Hetzner in Nuremberg, Germany. Statistics are kept for 24 months.
Legal basis: your consent (Art. 6(1)(a) GDPR). If you click “Decline” or make no choice, neither chat nor statistics are loaded. You can withdraw your consent at any time under “Cookie settings” at the bottom of the page; the chat data is then removed from your browser and the services are no longer loaded. This does not affect processing carried out before you withdrew your consent.
5. What is stored in your browser
bs_consent(local storage): your choice in the cookie banner and when it was made. Required to remember your choice.bs_lang(local storage, only on /ny): your language choice in the form.cw_conversationand Chatwoot's local storage – only if you have accepted (see section 4).
Fonts and images are served from our own server; we do not use Google Fonts or advertising/tracking cookies.
6. Operations, security and server logs
The site is delivered via Cloudflare, which protects and speeds up the site and processes your IP address and technical request data in doing so, under Cloudflare's data processing agreement. Our web server is hosted by GlobalConnect in Denmark and logs requests (time, which address was requested, response code and size). Logs are kept for at most 30 days. The legal basis is our legitimate interest in operating and securing the site (Art. 6(1)(f) GDPR).
7. Processors, recipients and transfers
We only share data with suppliers who help us run the site and our system. We do not sell your data.
- GlobalConnect (Denmark): hosting of the web server and admin.bigscreen.dk.
- Hetzner (Germany): the statistics server stats.bigscreen.dk.
- Cloudflare (USA): delivery of the site and Turnstile.
- Chatwoot (USA): chat, only with consent.
- SMTP2GO (New Zealand): sending emails from our administration system.
- Microsoft 365: our email.
Transfers outside the EU/EEA: Cloudflare, Inc. and Microsoft Corporation are certified under the EU-U.S. Data Privacy Framework, which the European Commission has recognised as providing an adequate level of protection. Chatwoot Inc. is not certified under the Data Privacy Framework; the transfer to Chatwoot in the US is therefore based on the European Commission's Standard Contractual Clauses in our data processing agreement with Chatwoot. SMTP2GO is based in New Zealand, which the European Commission has recognised as providing an adequate level of protection, and SMTP2GO's data processing agreement includes the EU Standard Contractual Clauses for other transfers.
8. How long we keep data
- Enquiries from /proev that do not lead to an agreement: 12 months.
- Chat conversations (Chatwoot): 12 months.
- Customer data from /ny: for as long as the agreement runs, then 5 years (Danish Bookkeeping Act).
- Visitor statistics (Umami): 24 months.
- Server logs on our web server: at most 30 days.
- The chat cookie
cw_conversation: up to 1 year in your browser, or until you withdraw consent. - Turnstile data: we only receive an answer on whether the check passed; Cloudflare's own storage follows Cloudflare's rules (see section 3).
- Your cookie choice (
bs_consent): until you change it or clear your browser.
9. Your rights and complaints
You have the right to access the data we hold about you and to have it corrected or erased. You can also object to the processing, have it restricted and receive your data (data portability). If you have given consent, you can withdraw it at any time under “Cookie settings” at the bottom of the page. Write to us at [email protected].
You can lodge a complaint with the Danish Data Protection Agency (Datatilsynet), Carl Jacobsens Vej 35, 2500 Valby, Denmark, www.datatilsynet.dk.
